AUSkey will be replaced by myGovID and Relationship Authorisation Manager (RAM) at the end of March 2020.
You will need to set up your myGovID access as a business owner, as well as authorise access for employees to your ATO business portal if they need it.
myGovID and RAM is the new and secure way to access the ATO business portal to manage tax and super affairs, grants and payroll, plus much more – change your address, updating your ABN details, or lodging your business activity statement (BAS), all from your myGovID login.
Your business is probably already stretched to its limit, so this blog attempts to make it easy for you to set up your myGovID. We want your changeover to be seamless, as well as save you time and lots of aggravation!
What is myGovID?
myGovID is your digital identity for government online services, that sits on your smartphone. It’s like showing your driver’s licence to a police officer, myGovID identifies who you are when you are logging onto essential government services.
Since 2015, the Australian Government has spent over $200 million developing myGovID, and it is now ready to be put into production. AUSkey will be replaced by myGovID to provide more secure access to your company’s business portal.
Where you used your AUSkey as login security for the ATO Business Portal, you will now be using your newly created myGovID instead.
What is RAM?
Relationship Authorisation Manager (RAM) allows you to manage who can access government online services on behalf of your business.
Setting up myGovID for business
Let’s jump in. Have your smartphone and your laptop or desktop handy as well as your identification documents such as drivers licence, passport, birth certificate or Medicare card.
Before you start:
Make sure your personal details are up to date on ABR. If you’re a primary person, check your role is recorded in the ABR database.
- Download the myGovID app onto your smartphone to set up your account and verify your identity. (Note: The app is available on both Android and iOS and can only be used on your smartphone. It utilises mobile inbuilt security features. )
- Click the green button ‘Create a myGovID’ in the mobile app
- Swipe to the left to go through their tutorial
- Enter your email address one that you always have access to – you only need one.
- Click the black button ‘Start now’.
- Enter your email address and click ‘Done’
- Click the ‘Get Code’ button. This will activate a verification code to be sent to your email address.
- Enter the 6 digital code that is contained in your verification email.
- You will be asked if you would like touchID to be turned on. This enables you to use your fingerprint (and anyone else’s touch ID stored on your phone to access your myGovID).
- Create a password for your account – it must be 10 characters with uppercase, lowercase and either a number or character. Confirm password and click next.
- Enter your personal details, click DONE.
- You will need to scan or enter your identification items. The more identification you provide, the stronger your identity. You will need Standard identity strength for myGovID.
After you have entered the required number of identity documents, you can now login to your new account.
Link your business portal to your myGovID
You now need to go to RAM to assign your myGovID to your business. Follow these steps –
- Go to RAM and log in using your myGovID email address. A four-digit code will appear on the screen.
- Access your myGovID app on your mobile and enter this four-digit key. You are now logged in to RAM.
- Click on ‘Link your business’ which will redirect you to the Australian Taxation Office (ATO) site.
- Enter your personal details as directed to enable the ATO to match them with your business.
- Check the box next to the business you would like to link to.
- Enter your email address, for a verification code to be sent to.
- Enter the code that appears in the email and press verify.
- Check the statement ‘I understand and accept this declaration’ if you accept and press ‘Submit’.
You should receive confirmation that your business has been successfully linked.
How to add users to your ATO Business Portal using myGovID
Once your business is linked, you use RAM to authorise who can access your business account.
While you are logged on, you can also select ‘Add new user’ to create a new authorisation for your business representative to access your business’ portal – such as your bookkeeper, CFO, accountant (likely, the people who had access to your business portal previously).
If you had a number of users, you can select ‘Import AUSkey users’ to import your existing AUSkey users to RAM.
When you have authorised someone, they will receive an email advising they have been given access.
Each authorised user will need their own MyGov ID to log in to your ATO Business Portal.
ATO Business Portal login with myGovID
Access your business’ ATO Business Portal here, and click Login with myGovID. You can do this on your laptop or desktop but have your mobile handy with your myGovID app.
Enter your login email and a four-digit code will be created. Type this code into your myGovID app and it will open your business portal on your laptop or desktop.
You are ready to look at your account details, enter your monthly or quarterly BAS statements, and correspond with the ATO.
Other government services affected by the myGovID changeover
These key government business services will also be affected as of late March 2020 –
- ATO: Single Touch Payroll, lodging tax returns and other online tax functions
- Austrade: Lodgement of the Export Market Development Grant submission
- Australian Business Register (ABR): Updating the business’ ABN details
- Department of Human Services – Centrelink Services: Lodging Paid Parental forms online.
Some important things to note with myGovID
- Do not share your myGovID with anyone else. Your myGovID belongs to you and only you. Each person needs to set up their own myGovID.
- Complete your myGovID registration sooner, rather than later, before AUSkey is officially withdrawn to ensure a smooth switch to myGovID. This will also give your business a chance to change its procedures and give you time to sort out any glitches that you may encounter.
- myGovID can be used for both personal and business affairs. You only need one myGovID for access to all government services.
- You can also call or visit a government office or shopfront in person to set up your myGovID if you are not confident to complete it online.
- myGovID is different to myGov: the former is designed to authenticate who you are when using government services for your business, the latter is for connecting and accessing various online governmental services in one place.
